PAIKKA requires that all clients choose a caterer from those listed below. We proudly support vendors that are value driven, respectful and professional! The vendors on our list are licensed, insured and most importantly, will provide you with incredible service. Catering proposals will reflect a 10% venue fee.

Bar

PAIKKA has developed an easily customizable bar program for your event focused on sustainable, thoughtful, and locally sourced beer, wine and spirits. We will prepare, staff, and service your entire bar experience.

A $1500 Beverage Deposit is collected upon booking for hosted bar packages.

Included in your rental:

Our venue rental fee includes everything you see below. We don’t believe in surprise fees or a bunch of add ons. The only additional fee that can optionally be added to your rental is if you would like cafe lighting installed in the Gold Room.

PAIKKA Site Manager + Your Day of Coordintor

Included in your rental is one PAIKKA Site Manager on the day of your event. The Site Manager is not a day-of coordinator or event planner. PAIKKA requires clients to hire a professional day-of coordinator to ensure your event runs as planned and you and your party are relieved of any potentially stressful responsibilities! Your day-of coordinator is not a guest of the event and is not permitted to consume alcohol while on-site. They must be available to our Site Manager and vendors throughout the event.

Below is a break down of what is expected of each role and who will perform certain duties. Consider this list a starting point for your event versus a comprehensive list!

Day of Coordinator/Planner

-Creates and manages your detailed timeline

-Manages transportation needs for wedding party and guests

-Handles pre-ceremony set up and specialized decor beyond what your desginated vendors will manage (signage, table decor/table numbers, guest book, memorial table, cake/knife)

-Handles all ceremony items such as programs, flower girl/ring bearer needs, boutonnieres

-Coordinates entire ceremony, wrangles wedding party, cues music, sends everyone down the aisle

-Sets up seating chart/escort cards

-Cleans up ceremony decor

-Coordinates Room Flip with the help of catering staff

-Lights candles on reception tables

-Coordinates Grand March, cues DJ

-Sets up mics for speeches/toasts

-Facilitates cake cutting

-Takes gifts/card box to safe space

-Coordinates client and guest exit

-Cleans up decor and personal items and puts into client car or passes off to the appropriate party

-Required to stay until the end of the rental period to ensure everything is taken care of

PAIKKA Site Manager

-Opens the venue at beginning of rental period

-Onsite to welcome vendors

-Ensures floor plan is set accurately

-Places plant walls/potted plants

-Performs welcome speech with Coordinator, Catering, and Bar vendors to ensure House Rules are understood and cleaning expectations are communicated

-Works with vendors throughout to ensure PAIKKA expectations and House Rules are adhered to

-Executes sound check of PAIKKA sound systems with appropriate party

-Maintains bathrooms throughout the event

-Maintains temperature (heating/AC)

-Monitors PAIKKA lighting and dims as necessary

-Opens and closes garage doors

-Provides space and safety for guests with special needs

-Performs Vendor check out, approving the space is appropriately cleaned and verifies vendors may leave

-Coordinates load out and locks venue at end of night

Frequently Asked Questions

What is required to reserve a date?

PAIKKA requires a 50% non-refundable deposit for all dates, along with a signed contract. The remaining balance is due 30 days before the event.

How do we make payment?

PAIKKA accepts cash, check, or credit card payments. A 3% processing fee applies for payment by credit card, a 1.5% fee for bank transfer, and no fee for checks.

Is a security deposit required?

PAIKKA collects a credit card authorization form from all clients.

What happens if I need to cancel or reschedule?

The original 50% deposit is non-refundable and once final payment has been made (30 days before), nothing is refundable. We do offer one reschedule at no cost to you. Additional reschedules are subject to a fee.

What type of insurance do I need?

Clients are required to provide Special Event Liability Insurance, including Host Liquor Liability (if applicable to event), in an amount not less than $1 million combined single limit for bodily injury and property damage. You will provide a copy of this insurance to PAIKKA 30 days prior to your event. If alcohol is to be served, the Insurance must include Host Liquor Liability coverage for alcohol-related accidents.

Where do I get insurance?

Insurance may be purchased through wedsafe.com or privateeventinsurance.com. You may also be able to pull a rider through your Homeowner’s Insurance policy.

Does the rental period include setup and teardown?

Yes. The 12-hour rental usually gives you 3-4 hours for your vendors to arrive and set up, about 6-7 hours for the actual event, and about 1-2 hours for breakdown and clean up at the end. Your rental period can be changed up to 7 days prior to the event, however no changes are official until your contract has been amended.

What is the Design Meeting?

Clients will meet with PAIKKA for their Design Meeting ~60 days prior to their event date. At this meeting, we will talk through your vendors, timeline, and how you would like the space laid out. We will then create a customized floor plan for you, which is how the space will be set for you on the day of your event. We strongly suggest clients bring their planner and/or day-of-coordinator to the DM! Please provide PAIKKA with all of your decor/install ideas, or special equipment so they can approve and/or dictate their terms of use.

Can I come by for another site visit?

The Design Meeting is included in your rental fee! Additional on-site meetings will be billed at $150/hour. We often host open houses, which are a free and informal chance to come by and see the space again in person. Open House dates are posted on our Instagram and events calendar.

Do I have to use a caterer or bartender from your list?

Yes! PAIKKA requires that all clients choose a caterer from our approved list. Catering proposals will reflect a 10% venue fee to PAIKKA. PAIKKA has an in-house bar program and outside bar vendors are not permitted.

Can I have a food truck?

Yes! PAIKKA welcomes food trucks to park on the south side of the building. We have a handful of food truck options on our catering list and can recommend additional options for dessert or late night snack.

Can I have a fire pit on the courtyard?

Up to two portable, covered propane fire pits are allowed on PAIKKA’s courtyard at one time, though these do require pre-approval by PAIKKA.

What is required by way of staffing?

PAIKKA requires at least one catering staff, one bar staff, and your coordinator to be hired until the end of the venue rental period to ensure all required cleaning and clearing of the venue happens. There is usually a period of time after the catering service is done when dessert and late night snacks are out and the bar is still open that requires staff to tend to spills, trash, and clearing. This staff will do the final sweep and wipe down after all guests have left and check out with our Site Manager before departing.

Can we book a rehearsal?

Rehearsals can be tentatively penciled in anytime before your wedding date. Please keep in mind that the rehearsal is subject to venue availability and will be confirmed with an invoice sent 7 days prior. If the venue becomes booked during your proposed rehearsal time, we will try to reschedule as close as possible to the original date and time. We suggest finding an alternative rehearsal location should your requested time not work with our events calendar! Rehearsals are scheduled through the Venue Director and set at a rate of $250/hour.

Can I bring my pet?

While we love our furry friends, pets are not permitted on-site except in the instance of a service animal used by a client or guest.

Who counts as a guest?

Anyone dining with the rest of the party! This includes the couple, and any vendors who you plan to have a seat for. Vendors who will not be seated during your reception do not count towards your guest count.

Can we bring in outside rentals or furniture?

Yes! Please let us know of any rentals that will be arriving so we can ensure they are accounted for on your floor plan.

Do you have a projector?

We do not, but we recommend AVEX or AV for You for screen, projector, and staging rentals.

Do we have access to your sound system?

Yes, PAIKKA provides the following two systems for your use:

Our mobile sound system is comprised of the following: (often used on the courtyard for ceremony)

+2 Shure SM48S-LC wired mics with 25 ft XLR cable and stands

Am I allowed to use real candles?

Of course! All candles must be in a container that is taller than the flame.

Am I allowed to hang decor (lights, drapery, floral, etc.)?

If you would like cafe lights, you can book those through PAIKKA! All items being installed at ladder-height or higher must be installed by a pre-approved professional, insured vendor. Inquire for recommendations!

Is there parking on-site? Can I leave my car overnight?

There is a public shared parking lot on-site with over 200 spots as well as street parking. PAIKKA does not own the parking lot and does not take responsibility for any vehicles left onsite. We do not advise leaving vehicles overnight.
